Qootra LLC ("Qootra," "we," "us," or "our") gives you control over your data. This Data Deletion Policy explains how to delete your Qootra account, workspace, and connected platform data, and what happens after deletion. It should be read together with our Privacy Policy, which explains how we process personal information in general.

1. Overview

Qootra LLC ("Qootra," "we," "us," or "our") gives you control over your data. You can delete most of your data yourself, directly from your account settings, and you can request deletion of anything else by contacting us. This policy explains what can be deleted, how deletion works, and what Qootra may retain. It applies to Qootra's website, application, platform, integrations, AI features, and related services.

Because Qootra connects with third-party social platforms, deleting data from Qootra is not always the same as deleting data from the original social platform. This policy explains what Qootra can delete, what you may need to delete directly from a third-party platform, and how deletion requests are handled.

2. What Data You Can Delete

Depending on your account, workspace, permissions, and the features you use, you may delete or request deletion of the following categories of data:

• Account profile information

• Login and authentication data associated with your Qootra account

• Workspace data and team member data

• Client workspace data

• Content calendars, campaigns, drafts, and scheduled posts

• Uploaded media

• Published post history stored in Qootra

• Connected social account data, including access tokens and refresh tokens

• Analytics and performance data stored in Qootra

• Comments, mentions, messages, or inbox data, where supported and enabled

• Automation rules and workflow settings

• Orcai workspace context

• AI-generated drafts, suggestions, and related workspace outputs

• Support messages, where legally deletable

Some data may not be deleted immediately or completely if Qootra is required to retain it for legal, tax, accounting, billing, fraud-prevention, security, dispute-resolution, or compliance reasons. Section 10 explains what we may retain.

3. How to Request Data Deletion

The fastest way to delete your data is directly inside Qootra. From Settings, open the Account section, where you can:

• Download a copy of your data at any time

• Permanently delete your account, with password confirmation

If deletion controls are not available for what you want to delete, or you prefer to ask us directly, contact us at:

Please include enough information for us to identify the account, workspace, or connected platform data you want deleted. This may include:

• Your Qootra account email

• Workspace name

• Client workspace name, if applicable

• Connected platform name and the username, handle, channel, page, or profile identifier

• A description of the data you want deleted

4. Deleting Your Qootra Account

You can delete your Qootra account yourself from Settings, in the Account section. Deleting your account requires your password, permanently deletes your account and its data, and removes you from all workspaces. This cannot be undone.

When your account is deleted, Qootra will delete or anonymize personal account information associated with your account, unless retention is required for legal, tax, accounting, billing, fraud-prevention, security, dispute-resolution, or compliance reasons.

Deleting your Qootra account may affect your ability to access:

• Workspaces and client workspaces

• Connected social accounts

• Drafts and scheduled content

• Analytics reports

• Orcai features

• Billing and subscription settings

Deleting your Qootra account does not automatically delete content that has already been published to third-party social platforms. To delete content from a third-party platform, you may need to delete it directly through that platform.

Deleting your Qootra account does not automatically erase payment records that Qootra, Polar (our merchant of record and payment processor), or another payment processor may need to retain for tax, accounting, fraud-prevention, or legal compliance.

5. Deleting Workspaces and Client Workspaces

Workspace owners or authorized admins may delete a workspace or request its deletion.

For agencies, Qootra may allow separate isolated workspaces for different clients. Where technically available, an agency may delete a specific client workspace without deleting other client workspaces or the agency's main Qootra account.

Deleting a workspace may delete or anonymize data associated with that workspace, including:

• Workspace settings and team access and permissions

• Content calendars, campaigns, drafts, and scheduled posts

• Uploaded media

• Stored published post history

• Analytics stored in Qootra

• Inbox data, where enabled

• Comments, mentions, messages, or conversation data stored in Qootra

• Automation rules

• Orcai workspace context and AI-generated outputs

• Internal notes and collaboration activity

Deleting a workspace does not automatically delete content already published to third-party social platforms. You may need to delete that content directly from the relevant platform.

6. Disconnecting Social Platforms

Qootra supports connecting these third-party platforms and business profiles:

• TikTok

• YouTube

• LinkedIn

• X (Twitter)

• Pinterest

• Bluesky

• Google Business Profile

• Tumblr

You may disconnect a platform from Qootra through your workspace settings, and you may revoke Qootra's access directly through that platform's connected-app, security, or account settings.

Disconnecting a social platform means:

• Qootra will stop collecting new data from that connected account.

• Qootra will no longer be able to publish, schedule, analyze, or manage that connected account through Qootra.

• Existing data stored in Qootra may remain until you delete it, request deletion, or until it is deleted according to Qootra's retention rules.

• Content already published to the third-party platform may remain on that platform unless you delete it directly from the platform.

Disconnecting a social account is not always the same as deleting all stored data from Qootra. If you want Qootra to delete stored data related to a disconnected platform, please submit a deletion request.

7. Platform-Specific Deletion Rules

Qootra handles connected social platform data according to this policy, our Privacy Policy, applicable platform rules, and applicable law.

7.1 Google, YouTube, and Google Business Profile

If you revoke Qootra's access to your Google account, or request deletion of stored YouTube or Google Business Profile data, Qootra will delete applicable stored Google API data as soon as reasonably possible and within 7 calendar days, unless retention is required by law.

You may revoke Qootra's access through your Google account permissions settings. Qootra's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

7.2 TikTok

If you disconnect TikTok from Qootra or request deletion of stored TikTok data, Qootra will delete applicable TikTok data stored in Qootra after verifying your request, unless retention is required for legal, security, fraud-prevention, dispute-resolution, or compliance reasons. You can also revoke Qootra's access directly from your TikTok account settings.

7.3 LinkedIn

If you disconnect LinkedIn from Qootra or request deletion of stored LinkedIn data, Qootra will delete applicable LinkedIn data stored in Qootra after verifying your request, unless retention is required for legal, security, fraud-prevention, dispute-resolution, or compliance reasons.

You are responsible for ensuring that you have authority to connect and manage any LinkedIn account, page, organization, or related asset through Qootra.

7.4 X (Twitter)

If you disconnect X from Qootra or request deletion of stored X data, Qootra will delete applicable X data stored in Qootra after verifying your request, unless retention is required for legal, security, fraud-prevention, dispute-resolution, or compliance reasons.

Where required by platform rules or authorized technical access, Qootra may remove, update, or stop displaying stored X content that has been deleted, protected, restricted, or made unavailable on X.

7.5 Pinterest, Bluesky, and Tumblr

If you disconnect Pinterest, Bluesky, or Tumblr from Qootra, or request deletion of stored data from those platforms, Qootra will delete applicable stored data after verifying your request, unless retention is required for legal, security, fraud-prevention, dispute-resolution, or compliance reasons.

7.6 Platform Data Outside Qootra

Qootra can delete data stored in Qootra. Qootra does not control third-party social platforms.

If you want to delete data from a third-party platform itself, such as a published post, video, profile, comment, or message, you may need to delete that data directly through the relevant platform.

8. Orcai Data Deletion

Orcai, Qootra's AI agent, helps you plan, create, analyze, and improve social media workflows. Depending on your use of Qootra, Orcai may use workspace context, prompts, content, analytics, and related data to provide AI-powered suggestions and outputs.

You may request deletion of Orcai-related data associated with your account or workspace, including:

• Orcai workspace context

• Brand voice settings used by Orcai

• Audience notes used by Orcai

• Strategy and performance context stored in Qootra

• Prompt history, where stored

• AI-generated drafts, suggestions, and content variations

• AI-related workspace outputs

Deleting a workspace also deletes or anonymizes Orcai context associated with that workspace, unless retention is required for legal, billing, security, fraud-prevention, dispute-resolution, or compliance reasons.

Deleting Orcai-related data may affect the quality, continuity, personalization, and usefulness of AI-powered suggestions in your workspace.

9. Deletion Timelines

Qootra aims to complete verified deletion requests within 30 days, unless a shorter period is required by applicable law, a connected platform policy, or a separate written agreement.

Where the GDPR applies, we respond to erasure requests within one month, as that law requires. Where the CCPA applies to a California consumer, we respond within the 45-day period that law provides. These periods may be extended for complex or numerous requests, as those laws allow.

For Google, YouTube, and Google Business Profile data, Qootra will delete applicable stored Google API data as soon as reasonably possible and within 7 calendar days after access is revoked or deletion is requested, unless retention is required by law.

Deletion may occur in operational stages (for example, account access revocation first, followed by downstream purge or anonymization according to retention and legal obligations).

Some deletion requests may take longer if:

• We need to verify your identity or authority

• The request is complex or involves multiple workspaces, client workspaces, or systems

• We are required to retain certain data by law

• We need to preserve data for security, fraud-prevention, dispute-resolution, or compliance reasons

If we need additional time, we will notify you when required by applicable law.

10. Data We May Retain

Even after a deletion request, Qootra may retain limited information where necessary for legitimate business, legal, security, or compliance purposes.

This may include:

• Billing, tax, and accounting records

• Subscription and invoice history

• Fraud-prevention records

• Security logs and abuse-prevention records

• Records needed to enforce our Terms of Service or resolve disputes

• Records required by law

• Records required by payment processors such as Polar

• Aggregated, anonymized, or de-identified analytics

• Internal records showing that a deletion request was received and completed

When Qootra retains data for these purposes, we limit retention to what is reasonably necessary for the relevant purpose.

11. Backups and Archived Data

Deleted information may remain in encrypted backups for up to 35 days, matching our rolling backup cycle, before being securely deleted, overwritten, or isolated from active systems.

Backups are maintained for security, disaster recovery, and business continuity purposes. Backup data is not used for active product features after deletion from active systems, unless restoration is required for security, legal, compliance, or disaster-recovery reasons.

12. Identity Verification

To protect users and prevent unauthorized deletion, Qootra may need to verify your identity or authority before completing a deletion request.

We may ask for information such as:

• Your Qootra account email

• Workspace name

• Client workspace name, if applicable

• Proof that you control or are authorized to manage the relevant workspace

• Connected platform identifier

• Confirmation through your account email

• Additional information reasonably needed to verify the request

If you are requesting deletion on behalf of a company, agency, client, or another person, we may require proof that you are authorized to make the request.

13. Confirmation of Deletion

After we complete a verified deletion request, we may send confirmation to the email address associated with your Qootra account or the email address used to submit the request.

If we cannot complete part of your request, we may explain why, unless prohibited by law or security reasons.
